Shopify payouts accounting in the UK: one week and one month end
A Shopify Payments payout mixes sales, refunds and fees into one bank line, and it arrives days after the sale. The fix is a clearing account: book the sales when they happen, book the payout when it lands, and the account should return to nil. This guide works through both with made up figures. It is general information, not advice on your own tax position.
One week, four entries
A UK VAT registered shop sells £1,200.00 including VAT at 20 percent. It refunds one £60.00 order and pays £36.00 in payment fees. Whether your fees carry VAT is for your own Shopify invoice to say; this example shows none.
| Entry | Debit | Credit | Effect on clearing |
|---|---|---|---|
| Sales | Clearing £1,200.00 | Sales £1,000.00, VAT £200.00 | +£1,200.00 |
| Refund | Sales £50.00, VAT £10.00 | Clearing £60.00 | -£60.00 |
| Fees | Payment fees £36.00 | Clearing £36.00 | -£36.00 |
| Payout | Bank £1,104.00 | Clearing £1,104.00 | -£1,104.00 |
| Balance | £0.00 |
If the balance is not nil once the payout is booked, something is missing. It is usually a fee, a chargeback or an order paid another way. Shopify's Payments activity report breaks transactions, fees and payouts down for a date range, so it is the place to look.
Why the clearing account matters at the month end
The same shop takes a £240.00 order on 31 March, and it is paid out on 2 April. The VAT quarter ends on 31 March.
| At 31 March | Booked from orders | Booked from payouts |
|---|---|---|
| Sales in the quarter | includes £200.00 | misses £200.00 |
| VAT on sales in the quarter | includes £40.00 | misses £40.00 |
| Money in transit on the balance sheet | £240.00 | nothing |
VAT is declared by the time of supply. HMRC's Notice 700/21 says that is generally when you issue the VAT invoice or, on cash accounting, when you receive payment. If you use cash accounting, or dispatch well after the order, ask how your own dates fall.
At each month end, the clearing balance should equal the sales Shopify has not paid out yet. Check it against the next payout, so a missed fee or refund shows up before the VAT return does.
Lines that catch shops out
- Shipping charged to the customer. It is part of what you are paid. Notice 700 says the value of a supply includes costs you are paid to cover, unless you incur them as an agent.
- Mixed VAT rates. A shop selling both standard and zero rated goods cannot book one sales total. HMRC asks for the value of your supplies per period split by rate, so take the rate from each order, not from the payout.
- Other ways to pay. PayPal and other providers pay out separately. Give each its own clearing account, so each one can return to nil.
- Selling abroad. Orders to customers outside the UK need their own treatment and evidence: see VAT for UK online sellers.
Where Octobooks stands
Octobooks books a payment provider's payout as one entry: bank, fees, and the money in transit. The sale itself goes to the same in transit account, so the payout empties it. A shop link for Shopify is listed on our pricing page, but the one click connection for every Shopify shop is still being finished. Write to [hello@octobooks.ai](mailto:hello@octobooks.ai) before you plan on it. Your VAT figures come from your entries, and you submit the return yourself: direct filing is not switched on yet.
