Questions

Can AI reconcile my bank statements?

Short answer

Yes. Reconciling means matching each bank line to an invoice, bill or entry, and that is work an AI does well. It needs your bank statement data in the ledger, and it should ask you about the lines it cannot explain.

What does bank reconciliation mean?

Reconciliation checks that the bank account in your books agrees with the bank's own statement. Every line on the statement should match an entry: a customer paying an invoice, a supplier bill paid, a fee, a transfer. Lines without a match point to something missing, such as a lost receipt or an unrecorded sale.

It is how you know your records are complete. A company's records must disclose its financial position with reasonable accuracy at any time (Companies Act 2006, section 386), and bank statements are among the records HMRC expects you to keep (GOV.UK).

Where does the bank data come from?

An AI can only match what it can see. Some ledgers take a live feed from the bank. Others work from statement files you download from online banking, often as CSV. Either way, the lines land in the ledger, and the AI works from there.

In Octobooks you upload bank statement files. Your AI then gets a work list of bank lines that still need explaining.

Statement files are not a weakness. They are complete, they come straight from the bank, and you control when the AI sees them. Many small businesses upload them once a week or once a month, just before the month end.

How does an AI match the lines?

Matching is pattern work, which suits an AI:

In Octobooks, matching payments to invoices is a connector tool. You set the switches for who releases the resulting entries, and every entry stays in the audit trail.

What still needs you?

Some lines need context only you have. A card payment may be private. A transfer may be a loan to or from a director. A round sum may be a deposit for a future job. A good setup asks you once, records the answer and treats similar lines the same way next time.

For VAT, bank statements are part of the business records you keep for at least 6 years (VAT Notice 700/21).

Over time, the share of lines the AI can explain alone grows, because the ledger keeps what you told it. The time you spend on reconciliation shrinks to the few lines that are new or unusual.
