Questions

Can AI prepare my VAT return?

Short answer

Yes, AI can prepare the figures for your VAT return from well kept digital records. Filing is a separate step: under Making Tax Digital, the return goes to HMRC through compatible software. Octobooks prepares the figures and does not file.

What does a UK VAT return involve?

A VAT return tells HMRC how much VAT you charged and how much you paid to other businesses. Most businesses send one every 3 months. The online deadline is usually one calendar month and 7 days after the end of the period, and payment must reach HMRC by the same date. You must send a return even if there is no VAT to pay or reclaim (GOV.UK).

What does Making Tax Digital require?

All VAT registered businesses must keep their VAT records and file their VAT returns with compatible software (GOV.UK). HMRC sets out the details in VAT Notice 700/22. Two points matter most:

Keep VAT records for at least 6 years.

What can AI do to prepare the return?

Preparing the return is mostly checking, and that suits an AI working in a ledger:

You then review the figures and decide when they are ready.

An AI is also good at the questions people put off. Is this supplier VAT registered? Was this purchase for the business? Does this invoice from abroad need reverse charge? It can list each open point for you, so the quarter does not end with a pile of unknowns.

How does Octobooks help with the VAT return?

Octobooks has a VAT return preview and workspace for each VAT registration in the UK, Germany and Austria. Your AI can run the missing receipt check, work through open bank lines and show the finished VAT page beside the chat in Claude.

Octobooks prepares the figures. It does not file the return with HMRC. To submit, use software from HMRC's list of Making Tax Digital compatible products, and check that the figures reach it through a digital link.
