Can AI do the month end close?
Short answer
Yes, most of it. An AI can work through the month end checklist: bank matched, receipts present, accruals and depreciation proposed, VAT checked and reports run. You review what it found and decide on anything unusual.
What is a month end close for a small business?
A month end close is a routine that brings the books up to date and checks them before you rely on the figures. No UK law requires a monthly close. But a company must keep records that disclose its financial position with reasonable accuracy at any time (Companies Act 2006, section 386), and a monthly routine is the simplest way to meet that. It also makes the VAT quarter and the year end far lighter.
Which steps can AI take?
A typical small business close has these steps, and an AI working in a ledger can do most of them:
- Match every bank line for the month.
- Check that each payment has a receipt or bill.
- Record sales invoices and supplier bills that are still missing.
- Propose accruals for costs incurred but not yet billed.
- Propose depreciation on assets.
- Check the VAT entries for the period.
- Run the profit and loss and the balance sheet, and explain changes.
- List what customers and suppliers owe.
Anthropic's Small Business plugin includes a month end prep skill that works from a ledger such as MYOB, NetSuite, QuickBooks, Xero or Zoho Books (knowledge-work-plugins on GitHub).
The order matters. Bank first, then documents, then adjustments, then reports. An AI that follows a fixed checklist each month gives you figures you can compare from one month to the next, and it leaves a clear list of the few points that need you.
How does Octobooks run the month end?
Octobooks has a month close checklist that your AI works through. It can run the missing receipt check, clear the bank work list, propose accruals and depreciation, and produce the profit and loss with the prior period and prior year beside it. The finished month close page shows beside the chat in Claude.
You set the switches for who releases the entries. Every entry goes in through a release and stays in the audit trail, and a change is a reversal plus a new entry.
What does the month end not cover?
The month end keeps the books current. The year end is a separate job. A private company files its annual accounts with Companies House within 9 months of its financial year end, and its Company Tax Return within 12 months of the end of its accounting period (GOV.UK). VAT records follow their own rules (VAT Notice 700/21). Clean monthly books make all of these easier.
