Is it safe to let AI book entries in my books?
Short answer
Yes, if the ledger is built for it. Look for a full audit trail, entries that are reversed rather than deleted, and switches that let you decide who releases a booking. With those in place, AI booking is something you can check, measure and widen step by step.
What can go wrong when AI books entries?
The risks are the same as with any bookkeeper, plus a few new ones:
- an expense posted to the wrong account or with the wrong VAT
- the same bill booked twice
- a document that contains hidden instructions aimed at the AI
- a connector that has more access than the task needs
Anthropic warns that malicious servers may hide instructions meant to make Claude act in ways you did not intend, and advises connecting only to servers you trust (Claude Help Center). The MCP project recommends giving each connection no more access than it needs (MCP security guidance).
What makes AI booking safe?
Safety comes from the ledger, not from hoping the AI never errs. Look for:
- A full audit trail that records who booked what and when.
- No deletion. A mistake is fixed with a reversal and a new entry, so the history stays visible.
- Release switches that let you decide who makes an entry final.
- Narrow tools. The connector should not be able to pay suppliers or file returns unless you want that.
- Regular checks of a sample of what the AI booked.
The aim is not zero mistakes, which no bookkeeper reaches. The aim is that every mistake is visible, can be traced and can be put right without losing the history. A ledger that works this way lets you start with a narrow role for the AI and widen it as the spot checks come back clean.
How does Octobooks handle it?
In Octobooks the owner sets the switches. For each company you choose who releases a booking: you, your AI, two agents together, a rule you approved, or a stamp you type. A trust ladder lets the AI do more alone over time, with a weekly spot check.
Every entry goes in through a release, so it is in the audit trail. Entries are chained by hash, and nothing is ever deleted. No connector tool moves money, sends email or files a return with a tax office. Data is hosted in Germany, and your AI provider processes what your AI reads.
Who is responsible for the records?
You are. Every company must keep adequate accounting records that show and explain its transactions (Companies Act 2006, section 386). VAT registered businesses must keep certain records digitally in compatible software (VAT Notice 700/21). Using AI does not move that duty, so pick a setup where you can see and check every entry.
