Questions

Can AI do the bookkeeping for a small business?

Short answer

Yes, for most of the routine work. An AI can record sales and costs, match bank lines and prepare VAT figures when it works inside a proper ledger with the right connections. You stay responsible for the records, and you decide how much the AI does alone.

What does bookkeeping for a small business involve?

Bookkeeping is the daily record of what the business earns, spends, owns and owes. For a limited company, HMRC lists money received and spent, assets, debts owed by and to the company, stock, and the receipts, invoices and bank statements behind them (GOV.UK).

Two digital rules shape how this is done. If you are VAT registered, you must keep certain VAT records digitally in compatible software, and data that moves between programs must move through digital links (VAT Notice 700/21). If you are a sole trader or landlord, Making Tax Digital for Income Tax applies from 6 April 2026 when qualifying income is over £50,000, from April 2027 over £30,000 and from April 2028 over £20,000 (GOV.UK). Both rules favour records that live in software, which is exactly where an AI can help.

Which parts can AI do well today?

AI is strong at the repetitive middle of bookkeeping:

It does this well when three things are in place: a proper ledger it can write to, a way to bring in documents and bank data, and the VAT rules of your country. Without a ledger, the same AI can only give answers in a chat that nobody keeps.

Which parts still need you?

Some questions only you can answer. Was that card payment private or business? Is this contract a one off or a monthly service? Should a large purchase count as an asset? A good setup lets the AI ask you, then remembers the answer for next time.

You also stay responsible for the records themselves, for paying suppliers and for signing and filing the accounts and returns.

What does a working setup look like?

The simplest setup is a ledger that talks straight to your own AI. Octobooks is built that way. It is a double entry ledger for small companies and freelancers in the UK, Germany and Austria, and it works with Claude and any other AI client that speaks MCP.

You set the switches. For each company you choose who releases a booking: you, your AI, two agents together, a rule you approved, or a stamp you type. A trust ladder lets the AI do more alone over time, with a weekly spot check. Every entry stays in the audit trail, and a correction is a reversal plus a new entry.
